How to ship Etsy orders from Vietnam without losing your shirt

The biggest hidden cost for Vietnamese sellers on Etsy isn't Etsy's fees. It's shipping. We see new sellers underprice shipping by $4–8 per order, then quietly burn their margin for months before noticing.

Here's the practical guide we wish we had when we started.

The three main shipping options

1. Vietnam Post (Bưu Điện). International airmail or EMS

Best for: small, light items under 500g.

  • Cost: $5–15 to the US, $7–18 to EU
  • Speed: 10–25 business days (airmail), 7–14 days (EMS)
  • Tracking: limited inside Vietnam, handed off to USPS or local postal service overseas
  • Pros: cheapest option, near-universal pickup
  • Cons: tracking gaps, occasional 30+ day delays in peak season

2. J&T Express International

Best for: medium parcels 500g–3kg, when speed matters.

  • Cost: $12–25 depending on destination
  • Speed: 6–14 days
  • Tracking: end-to-end, more reliable
  • Pros: consistent transit times, fewer lost packages
  • Cons: more expensive than VN Post for very small items

3. Air freight aggregators (ZTO, SF International, Ninja Van Cross-Border)

Best for: shops shipping 30+ orders per week.

  • Cost: lower per-package than retail couriers once you hit volume
  • Pickup: most do warehouse-to-warehouse, you handle last-mile drop-off
  • Pros: unbeatable for high-volume shops
  • Cons: requires monthly minimums or an account

Customs form basics

Every international package needs a customs declaration. For Etsy items under $400, you'll use a CN22 form.

  • Declare honestly: description ("handmade ceramic mug"), value, weight
  • HS codes: helpful but not mandatory under $400. Use them for items over $200 to avoid delays
  • Don't mark "gift" on commercial sales. Customs catches the pattern across multiple packages, and your shop ends up flagged

What to charge the buyer

Don't undercharge. A realistic VN → US baseline is $5–8 minimum for the smallest packages. We see beginners charge $3 and lose money on every order.

  • Use Etsy's calculated shipping when you can. It pulls live rates
  • Build a 10% buffer into manual rates for fluctuations
  • Offering free shipping over $35 triggers Etsy's algorithm boost, but only do this if your margin can absorb $7–10 in cost

Five mistakes that cost money

  1. Underestimating delivery time in the listing. Etsy auto-emails the buyer when the estimated delivery date passes. Late delivery = bad review.
  2. No insurance for items over $50. A single lost package can wipe out a week's profit.
  3. Wrong customs declaration. Seized package = full refund + lost product.
  4. Manual labels in handwriting. Print labels. Black-and-white. Readable.
  5. Not sending tracking to the buyer. Even when buyers don't ask, paste tracking into the Etsy message thread. It cuts "where is my order" messages by 80%.
If you ship more than 10 international packages a week, open an account with at least two carriers. When one goes down (and they do, especially during Tết), you're not stuck.
